How to Block Dates

Three ways to block dates in the availability calendar (set as unavailable, disable online bookings, or click status label).

Blocking Out Time or Seasonal Closures

There are several ways to block out large periods of time in ReservationKey ? for example, for seasonal closures or times when you do not want to accept reservations.


Option 1: Set Units as Unavailable

The traditional way to block out dates is by using the Set as Unavailable option in the Rooms / Units section.

  1. Go to the Properties tab and click Rooms / Units.
  2. Select the units you want to block. You can check boxes next to each unit or click Select All.
  3. Click Set as Unavailable.
  4. Enter the Start and End dates for your closure (for example, May 1 through May 31).
  5. (Optional) You can also:
    • Select specific days of the week to make unavailable (for example, block only weekends).
    • Leave the end date blank and instead specify a number of days (e.g., 50 days) to automatically block that many days forward.
  6. Click Save Changes.

The system will automatically create blocks of unavailable dates while keeping existing reservations intact.

Note: The status used for unavailable blocks is controlled in Settings → Reservation Status. Make sure the status labeled ?Unavailable? is configured with the option Use this status for dates set as unavailable (usually status ID 7).


Option 2: Disable Online Bookings (Seasonal Closures)

Another, often simpler, method is to disable your reservation page for certain date ranges. This hides availability online without cluttering your calendar with blocks.

  1. Go to the Website tab and click Reservation Pages.
  2. Open the reservation page you want to adjust.
  3. Scroll down to the section titled Booking Options or Disable Online Bookings.
  4. Enter the Start and End dates for the closure (for example, May 1 ? May 31).
  5. Choose a message to display to guests (such as ?We are closed for the season. See you next year!?).
  6. Click Add to save the closure period.

Now, if a guest searches for dates during the closed period, they will see your custom message instead of available rooms.

Optional: You can use the Show Continue option if you want to display a message but still allow bookings (for example, ?We are open with limited service during holidays ? continue to book?).

All website messages used for closures can be created or edited under Website → Messages.


Option 3: Quickly Block Dates Directly from the Calendar

For smaller date ranges or quick changes, you can block dates directly from the Availability Calendar:

  1. On the calendar, click and drag across the dates you want to block (up to two units at a time).
  2. Release the mouse to finish selecting.
  3. Click the Status Label that you want to apply (for example, ?Unavailable? or ?Maintenance?).

This immediately blocks the selected dates without having to go through the properties tab or reservation pages.
