How to Cancel a Reservation
This guide explains how to cancel a reservation, how canceled reservations appear on the calendar, and how to permanently delete a reservation from the system if needed.
Canceling a Reservation
- Locate the reservation on your Calendar View.
- Click the reservation to open its Details Page.
- Set the Status field to Cancelled.
- Click Save.
After saving, the reservation will be removed from the visible calendar, but it remains stored in your account in case you need to access it later.
Viewing Canceled Reservations (Hidden Reservations)
Even though canceled reservations do not block dates, they can still be accessed through the Hidden Reservations feature.
- On the calendar, canceled reservations appear as a small +1 link rather than blocking dates.
- Clicking the +1 opens the list of hidden (canceled) reservations for that date.
How to Enable or Disable Hidden Reservation Links
- Go to the Settings tab.
- Select Preferences ? Internal Availability Calendar.
- Find the option labeled Hidden Reservations.
- Choose:
- Show – to display hidden reservation links (+1 on the calendar).
- Hide – to disable these links.
- Click Save to apply your changes.
Note: By default, all ReservationKey accounts have Hidden Reservations links enabled.
Permanently Deleting a Reservation
If you wish to completely remove a canceled reservation from the system (not just hide it):
- Open the reservation’s Details Page.
- Click the blue “More” button.
- Select Delete Reservation.
- Confirm your choice to permanently remove the reservation from your account.
This action will permanently delete all data related to the reservation, and it will no longer appear in reports, searches, or the calendar.
