Importing and Exporting iCal Links

ReservationKey allows you to both import and export reservations using iCal links. This enables synchronization with external calendars such as Airbnb, VRBO, or Google Calendar.

Accessing the iCal Links Section

1. Go to your Availability Calendar.
2. Scroll to the bottom of the page.
3. Click the iCal Links button.

This will open the iCal Import/Export module, where you can manage both incoming and outgoing calendar links.

Importing from External Calendars

Importing allows you to bring reservations from another system (such as Airbnb or VRBO) into ReservationKey.

1. In the Import section, click Add next to the room you want to sync.
2. Paste the iCal URL from your external calendar (found in your Airbnb, VRBO, or other account).
3. Enter a Name for this calendar connection.
4. (Optional) Choose a Status for imported reservations ? for example, create a status named Airbnb to easily identify those bookings.
5. (Optional) Assign a custom Email Schedule for reservations imported through this link, if you wish to send different emails to those guests.
6. Click Sync with this Calendar to import the reservations.

Once added, ReservationKey will automatically sync with the external calendar several times per day.

If you want to see updates immediately (for example, after a new booking appears on Airbnb), you can manually click Sync Now to refresh the data.

Exporting to External Calendars

Exporting allows you to send your ReservationKey availability and bookings to external systems such as Airbnb, VRBO, or Google Calendar.

1. In the Export section, click Export next to the desired room.
2. Copy the iCal Export URL.
3. Paste this link into the external system (for example, into the Airbnb Import Calendar field).

This ensures your ReservationKey calendar blocks those dates in the external system, preventing double bookings.

Adding Variables to the Export Link

You can customize what information is included in the export feed by adding variables to the end of the iCal link.

For example:

https://reservationkey.com/ical/export/12345.ics?GP=1

Adding GP=1 includes the guest?s phone number in the exported data. A list of all available variables and their functions is displayed in this section of the iCal setup screen.

Tips

• ReservationKey automatically synchronizes iCal links several times per day, but you can always use Sync Now for immediate updates.
• Create a unique status (e.g., Airbnb, VRBO) to easily identify imported reservations in reports and your calendar view.
• If you manage multiple properties or units, repeat this process for each one that needs to sync with an external calendar.
