Linking Rate Plans to Rooms

This guide explains how to link specific rate plans to rooms (units) in ReservationKey. Linking rate plans correctly ensures that each room displays the appropriate rates on your availability calendar and booking pages.

Overview

Each room or unit in your account must be associated with a rate plan. This determines what prices appear when viewing availability or when guests make a reservation online.

For example, if your Cardinal Room should have different pricing from your Hummingbird Room, you’ll need to assign each room its own rate plan.

Step 1: Check Which Rate Plan Each Room Is Using

1. Go to the Properties tab.
2. Select Rooms / Units.
3. Look at the Rate Plan column to see which plan is linked to each room.

In this example, the Cardinal Bedchamber was showing rates from the Hummingbird Rate Plan — which needs to be updated.

Step 2: Change the Rate Plan Linked to a Room

There are three different ways to change which rate plan a room uses:

Option 1 – Edit from the Room Settings

1. Click the room name you want to update.
2. Find the field labeled Rate Plan.
3. Select the correct rate plan from the dropdown menu.
4. Click Save Changes.

Option 2 – Edit Multiple Rooms at Once

1. In the Rooms / Units list, check the boxes for multiple rooms (or click Select All).
2. Click Edit at the top.
3. In the Rate Plan column, choose the appropriate plan for each room.
4. Click Save when done.

Option 3 – Link Rooms Directly from the Rate Plan

1. Go to the Properties tab and click Rate Plans.
2. Open the rate plan you want to use (e.g., Cardinal Rate Plan).
3. Scroll to the section labeled Rooms / Units Using These Rates.
4. Select the rooms that should use this rate plan.
5. Click Save Changes.

Step 3: Verify the Changes

1. Go back to the Rooms / Units page.
2. Confirm that the correct rate plan now appears in the Rate Plan column for each room.
3. Open the Reservation Manager and view the Availability Calendar to confirm that the updated room now shows its new rates.

Example

Before linking the correct rate plan:

• The Cardinal Room was showing the same rate as the Hummingbird Room.

After linking the correct plan:

• The Cardinal Room now displays its unique, higher rate according to its own Cardinal Rate Plan.
