Demonstration of Using a Security Code with the Availability Summary Report

In this video, we provide a clear demonstration of how to effectively use a security code in conjunction with the Availability Summary Report. Adding a security code offers an extra layer of protection for sensitive information. This allows you to change the code so that the anyone with a link with an old code can no longer access the report.

Availability Report with Security Code

The Availability Summary Report can now be protected with a unique security code that controls who can view the report without requiring a login. This feature allows you to share access to specific users, such as housekeepers or staff, while maintaining full control over who can view the data.

Overview

The security code system adds a simple layer of protection to the public Availability Summary URL. Anyone who has the correct link (which includes the code) can open the report without logging in. If the code is missing or incorrect, access is denied.

How It Works

When you open the Availability Summary report, you’ll see a field labeled Security Code. This code is automatically embedded in the report’s URL. The system checks for that code in the URL each time the page is accessed.

Example URL

https://youraccount.reservationkey.com/p/availability-summary.asp?code=555

In this example, 555 is the active security code. The report will load only if that code is included in the URL.

Steps to Set a Security Code

  1. Go to your Availability Summary page.
  2. Locate the Security Code field.
  3. Enter a code of your choice (for example, 555).
  4. Click Save to apply the code.

Once saved, your URL will include that code, and anyone with the link can view the report without logging in—provided the code is valid.

Testing the Security Code

To test the code in a browser where you’re not logged in:

  1. Copy the full URL that includes the security code.
  2. Open a private or alternate browser (such as Microsoft Edge).
  3. Paste the URL into the address bar.
  4. The report should open without requiring a login if the code is correct.

If the code in the URL is incorrect, an “Invalid Link” message will appear, and the report will not load.

Changing or Revoking Access

If you no longer want someone to have access to the shared link (for example, a staff member leaves), you can easily revoke it by changing the code:

  1. Go back to the Availability Summary page.
  2. Enter a new security code (for example, change 555 to 777).
  3. Click Save.

All previously shared links using the old code will immediately become invalid. Anyone attempting to use the old URL will see an “Invalid Link” message.
