Guest Photo Capture
The Guest Photo feature allows you to capture and attach a photo of a guest directly to their reservation or contact record. This makes it easy to visually identify repeat guests or store related images such as driver’s licenses, vehicle photos, or other documentation. The feature works seamlessly on both desktop and mobile devices.
Capturing a Guest Photo from the Calendar
To attach a guest photo to a reservation:
- Open the Calendar and create a new reservation as usual.
- Enter the guest’s name and click Save.
- Click the Camera Icon next to the guest’s contact details.
This will open the photo capture interface.
Selecting and Using a Camera
- If your device has multiple cameras (for example, front and rear cameras on a phone or multiple webcams), select the camera you wish to use.
- Click Start to open the live preview window.
- Position the camera as desired, then click Capture to take a photo.
- If you’d like to retake the photo, simply click Capture again.
Saving the Photo
When you’re happy with the preview:
- Click Save Photo.
- The photo is automatically uploaded to the cloud and displayed on top of the guest’s contact information.
- Click the photo to enlarge it, delete it, or close the preview window.
This process can be repeated at any time to update or replace the guest photo.
Example Use Cases
Although designed primarily for guest photos, this tool can also be used for other visual records, including:
- Scanning a driver’s license for identification.
- Capturing a proof of insurance document.
- Taking a vehicle photo for rental or campground clients.
The photo capture system works well on mobile devices, allowing you to take pictures directly from your phone or tablet while logged into ReservationKey.
Viewing and Editing Photos in the Guests Section
The same photo functionality is available in the Guests Tab:
- Search for the guest and open their record.
- The guest’s photo appears in the Reservation History section.
- Click Edit to open the guest editor, where you can:
- Delete an existing photo.
- Capture and upload a new photo directly from the browser.
Once saved, the updated image appears immediately in both the guest record and any associated reservations.
