Text Messaging Schedule
The Schedule section is where you define which text messages should be sent automatically and when. Each schedule can contain multiple events that trigger messages before, during, or after a reservation.
Creating or Editing a Schedule
To create a new schedule:
- Click Add Schedule.
- Enter a description to identify the purpose of the schedule.
To modify an existing schedule, click its name to open it for editing. You can change the description or adjust how and where it is used.
Internal Use Settings
The Use Internal option determines whether this schedule is applied to all reservations created manually inside the system.
- If set to Yes, the schedule will apply to all manually created reservations across your account.
- If set to No, you can specify which properties should use this schedule.
Property-Specific Scheduling
If you have multiple properties and wish to use different messaging schedules for each one:
- Set Use Internal to No.
- Go to the Advanced tab.
- Select one or more properties that this schedule should apply to.
Reservation Page Scheduling
Under Reservation Pages, you can define which reservation pages will use this messaging schedule. Any new reservations created through those pages will automatically have the associated templates added to their messaging queue.
Adding and Configuring Events
Each schedule contains a list of events that determine when specific templates are sent. To add or modify events:
- Click into an existing event or create a new one.
- Choose the trigger timing:
- On Request: When the reservation is first created.
- Before or After First Day: Relative to the start of the stay.
- Before or After Last Day: Relative to the end of the stay.
- Specify the number of days before or after the selected event.
- Set the exact time of day the message should be sent (based on the time zone defined in the Text Messaging Dashboard).
- Choose who the message should be sent to:
- Guest Phone: Sends to the guest’s mobile number on file.
- Other Phone Number: Sends to an alternate number (for example, your own phone or a housekeeper).
- Select the template that should be sent for this event.
Template Automations
Any template linked to an automation will trigger that automation when sent. This allows for advanced workflows, such as automatically following up with guests or notifying staff based on the message content.
Example Schedule
Here’s an example of how a schedule might be configured:
- On Reservation Request: Send the confirmation message immediately.
- 2 Days After Request: Send a promotional offer.
- 2 Days Before First Day: Send a room upgrade offer.
