How to Use the Notes Bar

The dark colored bar above the availability calendar is a place to attach notes to dates and/or reservations. Find out how to add notes, filter notes, and customize note labels.

Using the Notes Bar on the Availability Calendar

The Notes Bar above the Availability Calendar is a powerful tool for attaching notes to specific dates and reservations. Dates with notes appear in orange, making it easy to see where reminders or special details have been added.

Adding a Note

  1. On the Availability Calendar, select the date where you want to add a note.
  2. Click the Notes Bar above the calendar.
  3. Optionally, select or create a Label for your note.
    Example: Airport Pickup
  4. Enter the details of your note.
Example: Tom – 4 people arriving at 3:00 PM, need 2 cars
  5. Click Save.

The selected date will now appear orange, indicating that a note has been added.

Viewing Notes

You can also filter notes by label — for example, show only “Airport Pickup” or “Vegetarian” notes — to quickly view relevant information.

Editing Notes

  1. Click Edit next to the note you wish to update.
  2. Make your changes.
  3. Click Save to update the note.

Creating and Customizing Labels

  1. From the Note window, click Add New to create a new label.
  2. Enter a label name (e.g., City Tour).
  3. Optionally, set a background color and text color to help the label stand out.
  4. Click Save.

Labels can help you organize notes by type — for example, “Airport Pickup,” “City Tour,” or “Special Request.”

Editing or Deleting Labels

  1. Go to the Settings tab.
  2. Select Lists.
  3. Click the label you want to edit.
  4. Make any changes — for example, remove or change the colors.
  5. Click Save Changes.

Once saved, any notes using that label will automatically update to reflect the new settings.

Summary

The Notes Bar is an easy and flexible way to keep track of miscellaneous details such as airport pickups, meal preferences, tours, or any other information related to your guests and dates. Use colors and labels to stay organized at a glance.
