Automatically Set Rates to Zero When Changing Status
ReservationKey can automatically clear room rates when a reservation’s status changes to a specific value — for example, when changing a reservation to Cancelled. This helps ensure that cancelled or voided reservations do not continue to show amounts due or totals in reports.
Step 1: Open Reservation Status Settings
- Go to the Settings tab.
- Select Reservation Status.
Step 2: Edit the Desired Status
- Locate the status you want to trigger rate clearing — for example, Cancelled or Walked.
- Click the Edit icon next to that status.
Step 3: Enable “Set All Rates to Zero”
- In the edit screen, find the option labeled Set all rates to zero when changing to this status.
- Check this box.
- Click Save Changes.
Step 4: Test the Setting
- Create a test reservation with sample room charges, discounts, fees, and taxes.
- Change the status to the one you just configured (e.g., Cancelled or Walked).
- Observe that all room rates, taxes, and discounts are cleared automatically.
Note: Fees, items for sale, and payments remain untouched. Only rates, taxes, and discounts are reset to zero when this feature is triggered.
Example Use Case
If you often receive cancellations or no-shows and want to ensure those reservations don’t appear as unpaid or partially paid in reports, enabling this option helps maintain clean financial data without manual adjustments.
