Adding a Fee (Such as a Cleaning Fee)
You can easily add fixed fees such as cleaning, resort, or service fees in ReservationKey.
Fees can also be linked to specific rate plans or room groups, allowing for automatic application based on property or location.
Step 1: Open the Fees Section
- Go to the Properties tab.
- Click Fees.
- Click Add Fee to create a new one.
Step 2: Define the Fee Details
- Type a Description (e.g., Cleaning Fee).
- Enter the Amount (e.g., $75).
Step 3: Apply Taxes
- Select which Taxes should apply to this fee.
For example, select Washington State Tax if the fee is taxable in that region.
- If no taxes appear in the list, add them first by going to
Properties → Taxes and creating the necessary entries.
Step 4: Link the Fee to Rate Plans
- Under the Applies To Rate Plans section, select which rate plans will include this fee.
- For example, choose the Washington Rate Plan if the fee only applies to Washington properties.
Rate plans determine which rooms the fee applies to.
Each rate plan is linked to rooms through either the Room Settings or the Rate Plan Settings (at the bottom of each setup page).
Step 5: Save and Verify
- Click Save Changes to complete the setup.
- When you create a new reservation using the linked rate plan, the fee will automatically be included.
Alternative Setup
You can also add the cleaning fee directly within the Rate Plan setup rather than from the Fees section.
Both methods work the same — either approach ensures the fee is automatically applied when the corresponding rate plan is used.
Summary
- Navigate to Properties → Fees.
- Add a new fee and enter the description and amount.
- Select applicable taxes and link the fee to rate plans.
- Click Save Changes.
Once linked, the system will automatically apply the cleaning fee (and its associated taxes) whenever a reservation is made using the corresponding rate plan.
