Adding an Extra Guest Fee
ReservationKey can automatically calculate additional fees for guests exceeding the base occupancy of a room.
This feature is useful when you want to charge an extra amount per additional adult or child beyond the included number of guests.
Step 1: Set Maximum Occupancy
- Go to the Properties tab.
- Click Rooms / Units.
- Click into each room to verify the Maximum Occupancy and Maximum Children settings.
- To edit multiple rooms quickly, check the boxes for all rooms and click Edit.
Enter the correct number of total guests (and children, if different) for each room, then click Save Changes.
Step 2: Set Up Additional Guest Charges
- Go to the Rate Plans section under the Properties tab.
- Select the plan you wish to edit, then click into the Rate Rule.
- Scroll to the Adjustments section.
In this section, define how many guests are included in the base rate and how much to charge for additional guests:
- Specify how many guests are covered by the base rate — typically 2 guests.
- Set the Extra Adult fee (for example, $35 per night per adult).
- Set the Extra Child fee (if applicable).
Step 3: Save and Apply
Click Save Changes to apply the new rate adjustments.
Repeat this process for each rate rule and rate plan where extra guest charges should apply.
Example
If your room has a maximum occupancy of 4 and your base rate covers 2 guests:
- Guests 1 and 2 pay the base rate.
- Guests 3 and 4 each incur the additional fee (for example, $35 per person per night).
Summary
- Set maximum occupancy per room under Rooms / Units.
- Define extra guest fees in each Rate Rule → Adjustments section.
- Save and repeat for all applicable rate plans.
This ensures ReservationKey automatically calculates the correct pricing based on the number of guests entered during booking.
