How to Export Reservation Data to Excel
Exporting your reservation data from ReservationKey can be useful for historical record keeping, custom analysis, or creating detailed reports in programs like Microsoft Excel or Google Sheets.
Steps to Export Reservation Data
- Go to the Reservations tab.
- Select the Date Range for the data you want to export.
- Choose which date field to base your export on:
- Arrival Date
- Departure Date
- Booking Date
- Payment Made Date
- Staying Date
- Click the Export tab to access export options.
Customizing Your Export
You can choose exactly which data columns to include in your export file:
- Presets: Quickly select a predefined set such as Financial Information Only.
- Taxes: Include tax amounts for each reservation.
- Custom Fields: Add your own fields that you’ve created for reservations.
- Rooms: Filter by specific rooms or leave blank to include all.
Once you’ve made your selections, click Create Export File.
Downloading or Opening the Export
After the export file has been created, you’ll see options to:
- Save Export File: Download the file to your computer for later use.
- Open in Excel: If supported by your browser and system settings, open the file directly in Excel.
The exported file is typically in .CSV format, which can be opened in Excel, Google Sheets, Numbers, or most spreadsheet applications.
Tips for Working with the Export File
- Use Excel filters or pivot tables to analyze booking trends or financial performance.
- Save exports regularly for data backups.
- Rename exported files with descriptive names like “Reservations_Jan-Jun_2025.csv” for easy reference later.
