Accepting Online Payments Without Online Booking
Sometimes you may want guests to pay online but not actually book online ? for example, when guests call you directly and you create the reservation for them. In these cases, you can easily send them a secure payment link using ReservationKey.
Overview
There are two simple ways to send guests their payment link:
- Automatically through an email template that includes the payment link merge code.
- Manually by copying the payment link directly from the reservation.
Option 1: Send a Payment Link Using an Email Template
This is the most efficient way if you frequently send payment requests.
- Go to the Website tab.
- Click Email Templates.
- Click Add Template (or edit an existing one).
- Write your message ? for example:
Your reservation will be confirmed after payment is received. Please click the link below to complete your payment.
- Insert the merge code
{paymentlink}
where you want the payment link to appear.
- Click Save.
Example Template:
Hello {guestname},
Your reservation will be confirmed once payment is received.
Please click the link below to pay securely online:
{paymentlink}
Thank you!
Sending the Email
- Open the guest?s reservation.
- Click Correspondence.
- Select Edit next to your payment request template.
- Confirm that the merge code has generated a live payment link.
- Click Send to email the payment link to the guest.
When the guest opens the link, they will see a secure payment page where they can enter their payment information. The amount due will be based on the reservation?s payment schedule.
The message that appears at the top of the payment page can be customized under Website → Messages → Payment Page.
Option 2: Send the Link Manually
If you prefer not to use an email template, you can copy the payment link directly from the reservation.
- Open the reservation.
- Click More → Booking and Payment Links.
- Copy the appropriate link:
- Deposit Link ? for guests to pay the initial deposit.
- Balance Link ? for guests to pay the remaining balance.
- Paste and send the link to the guest by email or message.
When the guest clicks the link, they?ll be taken directly to the secure payment page showing the correct amount due.
Adjusting Payment Schedules and Methods
The payment link follows the Payment Schedule and Payment Method assigned to that reservation page.
- Open the Reservation Page associated with the booking.
- Under Payment Settings, review:
- The selected Payment Schedule (deposit, balance, etc.).
- The selected Payment Method (such as credit card processor).
Adjust these settings as needed to control how and when payment links calculate the total due.
Customizing the Payment Page Message
To edit the message that appears at the top of the payment page:
- Go to Website → Messages.
- Select the message titled Payment Page.
- Edit the text to fit your preferred wording.
- Click Save.
Summary
To accept online payments without online booking:
- Create a reservation manually in ReservationKey.
- Send the guest a payment link ? either through a pre-built email template or by copying the link manually.
- The guest can securely pay online, and you?ll see their payment recorded automatically in the reservation.
This method is ideal when you prefer to personally handle reservations while still offering guests the convenience of online payments.
