How to set up the connection between ReservationKey and Myallocator.com

Connecting ReservationKey with MyAllocator

This guide explains how to connect your ReservationKey account with MyAllocator.com, our channel manager partner. Once connected, the integration provides two-way synchronization ? reservations from third-party systems like Booking.com or Airbnb will automatically appear in ReservationKey, and any reservations entered directly in ReservationKey (online or internal) will update those connected channels through MyAllocator.


Step 1: Add the MyAllocator Connection

  1. Go to the Settings tab.
  2. Select External Connections.
  3. Click Add Connection.
  4. From the list, select MyAllocator.com and click Continue.

Enter your MyAllocator User ID and Password.

Select Matching Method: Most small hotels and B&Bs should choose One-to-One Matching ? this means each room/unit in ReservationKey corresponds directly to one unit in MyAllocator. Larger hotels using room types (e.g., ?10 Single Rooms,? ?20 Double Rooms?) can select a different matching type to group units by category.


Step 2: Configure Reservation Settings

When a reservation is received from MyAllocator, you can define how ReservationKey handles it:


Step 3: Commission and Expense Settings

If you pay commissions to each channel, you can automate expense tracking by adding your commission percentage here. ReservationKey will automatically record this as an expense each time a reservation is imported from MyAllocator.


Step 4: Custom Fields

ReservationKey can import and store additional data from MyAllocator using custom fields. These fields can be useful for reports and tracking purposes:

Step 5: Tax Options

You can choose whether ReservationKey calculates taxes internally or use tax data provided by MyAllocator. Select the method that best fits your accounting setup.

After reviewing all settings, click Save Changes.


Step 6: Map Rooms and Units

Mapping connects the rooms in ReservationKey with the units in MyAllocator.

  1. After saving, go to Room/Unit Settings for your MyAllocator connection.
  2. If you manage multiple properties in MyAllocator, first select the property to configure.
  3. Click Retrieve Rooms/Units.
  4. Match each MyAllocator Unit to the corresponding ReservationKey Room.

You can map all rooms or only certain ones that should sync with other channels. Click Save Changes when done.


Step 7: Verify and Sync the Connection

Once everything is configured, log out and log back into your ReservationKey account to refresh the settings.

  1. Click your profile menu in the upper right corner and choose MyAllocator Status.
  2. This will open a window showing recent synchronization results.
  3. Successful syncs will show as Successful; any issues will appear as Error.
  4. If needed, click Send Full Sync to resend all reservations from ReservationKey to MyAllocator.

Note: You may see errors if channels haven?t yet been configured in MyAllocator. Once your channels are connected there, ReservationKey updates will automatically sync through MyAllocator to each channel.


Rate Management

At this time, ReservationKey does not send rate information to MyAllocator. Rates should continue to be managed directly within your MyAllocator account. This feature may be added in a future update.
