Rental Agreement

Reservation requests require secure credit card entry. We also accept debit cards. There is generally a minimum stay of 2 nights. We will contact you if we need some more info. A 50% deposit is required at booking and is charged automatically at booking. Sales tax of 6.75% will be added to payment. A $50 cleaning applies to all reservations. This will be reflected on the reservation form. Balance is due 30 days prior to arrival. If booking is less than 30 days before arrival, total amount will be deducted at time of booking. Sometimes your payment will not be processed for a couple of days. Sometimes your payment may be in multiple transactions. No refunds for cancellations within 30 days of arrival unless the days are re rented. All cancellations MUST be made 30 days or more prior to arrival dates. All cancellations will incur a $50 cancellation fee. Maximum occupancy for log cabins is two. No smoking inside. Pets are allowed in Sundance and Stardance cabins with paid pet fee. If you bring a pet with you to the Moondance cabin, you will be asked to leave and will forfeit your money. You will be responsible for any damages caused by your negligence. You will be charged an additional cleaning fee of $50 for dirty dishes left in the cabin or an excess amount of mess left in the cabin. Check in time is 4PM or later. Check out time is 11AM. Check in procedure is as follows. We will unlock the cabin shortly before the check in time. When you arrive at the cabin, just go in and make yourself at home. There is a phone provided in the cabin. Call us at 828-539-0097, and leave a message that you have arrived. If something needs attention please let us know. If we are not home, please leave a message, and we will get back to you as soon as possible. Please plan on acquiring groceries and other supplies prior to arrival. It is a long way to the nearest "real" grocery store. There is a nice store in Hot Springs, but it may not be open at night. Fuel is expensive around Hot Springs and not always available. Please use common sense when using GPS or other devices. They aren't supplied with good mapping software for this area and will sometimes send you down impassable dirt roads or trails. There aren't any unpaved roads that need to be used to get to the cabins except for the driveway. You can use Mapquest for directions to the cabins. It seems to be pretty reliable.
Please note.. When coming from Newport Tennessee to Hot Springs, Just take 25/70 East to Hot Springs and turn Right at the stop sign and go south on NC 209 (lance Avenue) Go 7 miles and turn right onto Meadow Fork Road. Go 3 miles and turn Right onto Roaring Fork Road. Go to the end and turn Right at the Dancing Sun Cabins sign. Follow signs to the cabin you reserved. The Sundance and the Raindance are on the left. The Stardance and the Moondance are on the Right, across the creek.

Cancellation Policy

Cancellations must be made at least 30 days prior to your arrival date. Approved cancellations will require a $50 fee. This will be deducted from your refund. Any cancellation made within 30 days of arrival date will only get refunded if your reserved dates are re rented. So it is important to give as much notice as possible so we can rent your dates and refund your money. If you reschedule 30 days or longer before your arrival date there will be no $50 fee. Early departures or no shows will get no refund.
