The Cottonwood Hotel is an exclusive property where every guest reservation is both important and special to us. ***Due to our small size we do ask that all guests take full responsibility for their reservations. By allowing guests to stay as little as 1 night, these short stays block longer stays from being booked. Please note that our rates are prepaid, nonrefundable and nontransferable.
Any added nights, purchases of other items, late arrival, fees for changing dates, additional housekeeping, are due at time of purchase. Late check-out fees, missing or damaged items, excess cleaning, will be charged to your credit card.
ASSIGNED PARKING: Please park in your assigned parking space in the rear parking lot behind the hotel. It is MARKED by the #number of the unit you have reserved. ***Only 1 parking space per room. If additional parking is needed, please purchase under sale items.
STREET PARKING: Is fine too, but may be limited.
CHECK-IN: ***NOTE: We do not keep office hours, so it is important to set an approximate scheduled arrival time. Recommended is a scheduled time between 3:30-5pm or a mobile check-in. We will text you instructions.
EARLY CHECK-IN: This is not always doable, especially on Saturdays & Sundays. If you request an earlier check-in, you may park in your assigned parking space after 11am. PLEASE text us your vehicle description. We will text you when your room is ready. The office & innkeeper cell numbers are posted on the inn office door if you forgot to bring correspondence. It is important to call us and let us know ASAP of any changes or delays.

CHECK-OUT TIME is 11:00 AM. Check-outs extending beyond 11AM are subject to additional charges of a half to full day. It is extremely important that we are able to have FULL access to the units for cleaning by 11am for the next arriving guests. If the unit is not booked, we are always happy to accommodate late check-outs, if it does not interrupt our daily business.
MAXIMUM OCCUPANCY: Only two adult guests are permitted in rooms 1 through 5 (upper floor). The Cottonwood Hotel has a maximum occupancy code in effect. As a historic property with only 1 entrance in and out of the upper floor hotel, there is a maximum of 2 heads per unit, 10 bodies for the WHOLE UPPER FLOOR.
ALL GUESTS (names) staying overnight on the property MUST be registered.
MINIMUM AGE: Anyone under the age of 18 must be accompanied by an adult.
The Cottonwood Hotel property is 100% NONSMOKING. The State of Arizona SMOKE-FREE law can result in fines up to $1500. You must be 20 feet from all windows and doors. You may smoke in the designated rear parking lot smoking area under the tree. Please do not litter.
RISKS/SAFETY: We cannot accommodate children on the upper floor. Children are welcome in the main floor units and must be supervised at all times. Cottonwood Hotel does not assume responsibility for injuries occurring during your stay.
PET-FRIENDLY (Dogs ONLY): Street Level Units ONLY UPON PRE-APPROVAL!
***ABSOLUTELY NO PETS ALLOWED on UPPER FLOOR or common areas at any time!
***PET FEE: $50
***$150 UNAUTHURIZED PET FEE.
***We will not accommodate guests who plan to leave their pet(s) in their car during their stay. If you have a pet, please call so that we may help you make arrangements to board your pet locally.
ALCOHOL: Intoxicated guests are not permitted as overnight guests and are responsible for finding their own alternative lodging. Please drink responsibly.
COSTS for DAMAGES caused by negligence, neglect, misuse, accidents or irresponsible behavior will be assessed to your credit card. Burning candles are not allowed. Any damages to towels and bed linens due to wine spills, real or artificial rose petals, makeup, blood, ink, etc., can result in full replacement cost, if the stains cannot be removed. There will be a charge for extra handling and/or specialized cleaning.
PARTIES/COMMERCE: While we fully expect our guests to enjoy company of family or friends visiting, our units are not rented out for parties nor can they be used as a place of commerce. Large numbers of people coming and going and/or excessive noise will result in immediate eviction, with no refunds.
LEAVE SOMETHING BEHIND: You have two options...
1)To save you an additional fee, please send a prepaid pre-addressed proper packaging for us to send out your left behind item(s). We will then drop it into a mail box at our earliest convenience.
2) If for any reason we have to drive to the post office, stand in line, for postage, packaging or any other reason, there is a $25 fee for our inconvenience plus shipping and handling.
Rates/Policies are subject to change and vary during high impact periods and special requests.
We reserve the right to refuse service.
Reservation or Accommodation Agreement
This reservation is a direct contract created between the Hotel and the Guest(s)/Client (the "Accommodation Agreement").
ACKNOWLEDGEMENT: I acknowledge that I have read and understand the terms and conditions of the Cottonwood Hotel "Accommodation Agreement" & Policies and agree to be bound thereby.
Terms & Conditions
Our rates are prepaid, nonrefundable and nontransferable. There are no refunds for cancellations, no shows and/or early departure.
DATE CHANGES/RESCHEDULING may be made without penalty up to 30 days prior to arrival date. 14-30 days prior to arrival date will incur a $50 change fee. Changes made 7-14 days will incur a 1 day (going rate) change fee. Reschedules that result in a rate change (i.e. from week to daily rates, etc.) will automatically be recalculated based on the appropriate rate.
