Booking, Cancellation, Credit Card & Refund Policies
Our minimum stay is typically 2 nights but we may accommodate your 1 night stay. If we are able to accommodate your 1 night stay, a deposit of 100% will be charged & owed at booking. On 2-night stays, or multiple room or multiple night stays, a minimum deposit of 1/2 of the total estimated charges will be charged at time of booking. Any remainder owed will be charged within approximately 14 days of your stay.
All Cancellations must be sent in writing to both email@example.com and also firstname.lastname@example.org. Refunds are issued, as they are applied, and due, by check or credit card, at Arrowhead discretion, within 24 hours of receipt of meeting our cancellation policies.
If you do need to cancel, all we ask is that you give us 30 days notice in low season, 60 days notice in high, and we will completely refund your full room rate(s) less our refund processing administration fee of 10%. If a guest is unable to give the above notice, because time does not allow, or for any other reason, we will, to the best of our ability, try to rebook any and all rooms you have cancelled, in writing. Upon full re booking of rooms, Arrowhead will promptly refund all applicable room charges that were received upon rebooking Guest's room, less a 5-10% administrative processing fee of the total booking charges (minimum of $10), depending on the amount of time spent assisting Customer and/or booking the Customer's room(s)/event(s).
Whenever Guest is reserving 2 or more rooms for themselves, or for persons who are somehow related (families or friends or persons knowing each other and staying at the same time), or if multiple rooms or suites are held out for multiple people staying together, or in the same party, require an extra 30 to 90 days days notice in low season and up to an additional 120 days notice in high. If rooms or suites can be rebooked, Arrowhead will issue a refund to credit card on file, or via check, at Arrowhead discretion (credit card processing rules may require this) within 10 days of the re-booked date(s) and/or rooms, for 90% of the rebooked total (base rates).
Event Terms and Conditions, and cancellation policies are different, please ask for details in writing, but in the event that your event is less than a $1000 in costs, total, cancellation notice must be given with 180 days prior notice, at minimum, or for more than $1000, with 360 days notice. All event terms are listed in our Event Terms of Service document.
If customer requests, or causes the need to refund or recharge any amount, or that Arrowhead refunds one card to switch charges to another card, etc., at no fault of Arrowhead, a 10% administrative credit transaction processing fee of all such amounts will be charged.
Guests receiving any discounts, or who have been comped rooms or services by over 15% discount to regular rates will not receive refunds of any kind for any cancellation with less than 90 days notice in HIgh Season, 60 days notice in low season. Switched or transferred dates are considered a cancellation and do incur the same penalty. If at any time, Arrowhead Manor, at it's sole discretion, offers any partial credits or refunds to any Guests, for any reason, doing so does not show agreement by Arrowhead to anything more than that Arrowhead made one special exception, for one time only. These special exception refunds, and/or discount and/or credits expire immediately on expiration, or use, whichever comes first.
By booking with Arrowhead, Guest agrees to all of Arrowhead Policies and Terms of Service as listed on Arrowhead Manor's website.
Customers agree that Arrowhead does not refund after goods or services are rendered, in whole or in part unless the refund is really due, at Arrowhead discretion.. Guests/Customers agree that they will call Arrowhead Management at the phone number listed on the website, or as posted at Arrowhead, as Guest Services Extension, to complain and receive resolution at the time of any problem with their products, goods, stay or services. Arrowhead Management will listen to and assess all complaints. All reasonable complaints will be handled as quickly as possible as follows. Arrowhead will do everything in its capability to make every attempt at accommodating and correcting each and every reasonable complaint within a reasonable time frame. Should Arrowhead Staff or Management be completely unable to accommodate any reasonable request to ensure a Guest's stay is satisfactory, Arrowhead may offer Guest a refund or credit equal to a prorated amount of the unused portion, at Arrowhead discretion. Guest will have the option of accepting and denying that accommodation, correction, or, in extreme cases a full or partial refund, as Arrowhead states it can allow. Should guest accept the correction, no further complaint, refund or other remedy can be made about that issue. Should Guest refuse or disallow Arrowhead this reasonable means of correcting anything that is dissatisfactory, Guest waives all rights to complain, refunds, disputes or chargebacks. Should Arrowhead not be able to remedy any reasonable issue within a reasonable time frame Arrowhead may at its discretion, do one of the following to repair or remedy any issue or complaint. Give the Guest options to repair the complaint or fix the issues causing the complaint, within a reasonable time frame. Offer Guest a room or accommodation, or replacement product or service, at the same rate, at Arrowhead, or another Inn within 15 miles of Arrowhead, at the same rates, or to an upgrade, at a reduced rate, at Arrowhead discretion. Or, Arrowhead, also at its discretion, may offer the Guest possible partial refund on overnight accommodations, or a refund for goods, products or services, so long as Guest notifies Arrowhead within the first 10 minutes of any accommodation, or before a good, service or product has been enjoyed by more than 10%. Should Guest refuse to allow Arrowhead the right to reparation and remedy, as stated above, Guest agrees to forever hold Arrowhead harmless and indemnify Arrowhead to any and all persons and to never complain or review Arrowhead negatively in any way, or to attempt to dispute the charges or ask for a chargeback. Should a guest fail to allow Arrowhead the above reasonable means of accommodating or repairing issues and problems, Guest agrees not to do any of the following:
a) attempt to dispute or claim that they want a chargeback on any part or portion of their stay. Guest agrees herein, in not calling Arrowhead right as the issue has occurred, Guest has waived any rights to any discount. Should Guest do so, Guest agrees to pay a minimum credit card chargeback administration processing fee of at least $75.00, and up to $125 per labor hour for each and every administrative labor hour spent by Arrowhead, prorated in 1/2 hour increments, to the next hour, for any time Arrowhead Manor staff or management spends in processing and/or responding to, any and all such disputes and/or chargeback attempts by customer. including in answering online reviews that are not warranted, at Arrowhead discretion. Guest agrees that Arrowhead can, and Guest will cooperate, in adjudicating this matter in any appropriate court, including the Court of its choosing, including in the state of the business or its management.
b) review Arrowhead negatively on any issues that any staff or management could have resolved had Guests called Arrowhead Management or Staff at the time of the issue as it occurred. Should Guest do so, Guest agrees to pay Arrowhead for all losses and costs incurred, over any period of time, whether provable or not, including that Guest or reviewer or both shall pay Arrowhead a minimum of $2500 for each negative review, plus $250, per month that the review has been posted, minimum, plus $250, minimum, or actual cost, whichever is greater, for each person Arrowhead can show may have stayed or referred business at a later date, or even looked at the reviews at all, since that averages out, plus to reimburse Arrowhead for all costs and legal fees in getting the reviews removed, including all legal and other costs and remedies, no matter on which date the review was posted, and how many years or months have transpired in between. Guest, by staying, agrees that this is a fair policy, and agrees to it. Guest agrees that Arrowhead can, and Guest will cooperate, in adjudicating this matter in any appropriate court, including the Court of its choosing, including in the state of the business or its management.
c) Guest also agrees that Guest will immediately forfeit any and all discounts and/or possible refunds, or credits, if Guest should ever review Arrowhead negatively, or claim chargeback or dispute on any part or portion of their charges. Guest agrees that Arrowhead can, and Guest will cooperate, in adjudicating this matter in any appropriate court, including the Court of its choosing, including in the state of the business or its management.
